How to check what your employer accepts: what to know before you get a medical certificate
Before you pay for any medical note, find out whether your employer, school or airline will take it. This guide shows how to check what your employer accepts, what to ask HR and which DrCertificate option fits.
Every request is reviewed by an independent registered doctor after a digital chat consultation. The service is for people in 10 South East Asian countries, including Singapore, Malaysia and the Philippines.
How do you check what your employer accepts?
To check what your employer accepts, read your sick leave policy or ask HR in writing whether they take online medical certificates, which certificate type they want and what details it must show. On DrCertificate, an independent registered doctor then decides whether to issue a certificate. Acceptance always rests with your employer, not the doctor or platform.

What are the main points to know?
Your employer decides
Acceptance of any medical certificate is decided by the employer, school or airline that receives it.
Ask HR in writing
An email to HR gives you a clear record of which certificate types and formats they take.
Singapore has a 48-hour rule
Singapore's Ministry of Manpower says employees must inform the employer within 48 hours and submit the certificate on returning to work.
The doctor decides on issuing
On DrCertificate, an independent doctor decides whether to issue a certificate and for how many days.
What is an employer accepted medical certificate?
An employer accepted medical certificate is a note from a registered doctor that your workplace agrees to treat as valid proof for sick leave, working from home or fitness to work. The certificate states the doctor's opinion on your fitness for a set period. It does not hand your employer a diagnosis, and it is not a legal or insurance document.
On DrCertificate, the matching form options are Sick Leave for university or work, Work From Home and Medical Fitness Certificate. A general medical certificate uses the Sick Leave option, and a fit to work note uses the Medical Fitness Certificate option.
People mix these up often.
A sick leave note says you are unfit for work on named dates. A work from home note says you can work but should stay home. A fitness certificate says you are fit for a role or activity, and fitness notes are generally valid for 30 days. Ask HR which one they want before you apply.
When do you need to check what your employer accepts?
You need to check what your employer accepts any time a workplace, school or airline will rely on a medical note to make a decision about you. The usual moments are a sick day, a request to work from home, a return to work after illness and a fitness check for a new job.
Different offices ask.
At work, HR or your line manager usually reviews the note. At university or school, the registrar or student affairs office handles it. For travel, the airline sets its own rules, and you would give an Unfit to Travel note to the airline or travel provider.
Organisations ask for a certificate because paid leave and attendance rules depend on proof. A note from a registered doctor lets HR record the absence correctly. It gives the school or airline a documented reason on file. It also protects colleagues from someone coming in unwell.
In Singapore, the Ministry of Manpower ties paid sick leave to certification by a medical practitioner registered under the Medical Registration Act or Dental Registration Act. That rule means the doctor's registration counts, not only the note.
Two minutes spent asking can save you a rejected note.
What does each employer situation need?
The number of days or the fitness outcome is decided by the doctor case by case. In most South East Asian countries, sick leave and work from home notes go up to 7 days for generic symptoms, and fitness notes are generally valid for 30 days.
An in person visit is more suitable if you need a physical examination, tests, more than 7 days off or care for urgent symptoms.
| Situation | Form option to choose | What to confirm first | What the doctor considers |
|---|---|---|---|
| Sick day from work | Sick Leave for university or work | Whether online notes are accepted and how soon to submit | Your symptoms, dates and whether they are consistent |
| Missed class or exam | Sick Leave for university or work | The school deadline and any form it attaches | Your symptoms and the dates affected |
| Working from home while unwell | Work From Home | Whether your manager needs a doctor's note for remote work | Whether you can work but should stay home |
| Fit to work after illness or for a new role | Medical Fitness Certificate | The role, the fitness standard and the format needed | Your health details and the stated purpose |
| Unable to fly | Unfit to Travel | The airline's own policy on medical notes | Your symptoms and travel dates |
Who issues the medical certificate your employer will review?
Independent doctors with MBBS, MD or MS qualifications review every request and issue any certificate on DrCertificate. All doctors on the platform are registered with a medical council, and the doctor alone decides whether a certificate is issued.
DrCertificate sits in the middle. The platform connects applicants with doctors through an online form and a digital chat consultation, and it does not diagnose, treat or prescribe. Health Venture OU is the company behind DrCertificate.
Why does this matter for your employer?
HR may ask who signed the note and where that doctor is registered. Singapore's paid sick leave rule names doctors registered under the Medical Registration Act or Dental Registration Act, so ask HR whether a doctor registered with another medical council fits their policy. A medical certificate usually shows the issuing doctor's details, which gives HR something concrete to check.
How do you get a medical certificate online, step by step?
Getting a medical certificate online with DrCertificate takes five steps, starting with your employer and ending in your inbox.
There are no video or in person consultations. The doctor reviews your request through a digital chat.

ຂັ້ນຕອນທີ 1: Confirm what your employer accepts
Ask HR or your school which certificate type and format they take, and whether online notes are fine. Then click Apply now.
ຂັ້ນຕອນທີ 2: Choose the right option and fill in the form
Pick Sick Leave, Work From Home, Medical Fitness Certificate or Unfit to Travel to match what was asked for. Enter your name and ID as they appear on your documents and describe your symptoms accurately.
ຂັ້ນຕອນທີ 3: Pay through Stripe
Payment is taken through Stripe when you submit the form. The fee depends on your country and is non refundable.
Step 4: Chat with the doctor
An independent doctor reviews your request in a digital chat and may ask follow-up questions. The doctor then decides whether to issue a certificate and for which dates.
Step 5: Receive your PDF by email
Approved certificates arrive by email as a PDF, usually in about 30 minutes. Check every detail before you forward it to HR.

What should a medical certificate include for your employer?
A medical certificate for your employer should show your full name, the dates it covers, the purpose of the note and the issuing doctor's details. Your employer may want more, so confirm the organisation's own format first.
Run a quick check before you submit.
Does your name match your ID? Do the dates match the days you missed or plan to miss? Is the certificate type the one HR asked for? If your company uses a leave portal, can it take a PDF upload?
A certificate cannot be corrected once issued unless the fault came from the medical team. Getting your name, ID and dates right on the form is the surest way to avoid trouble later.
Your details
Full name and ID matching your official documents.
Dates covered
The start and end dates the doctor approved.
Purpose
Sick leave, work from home, fitness or unfit to travel.
Doctor details
The issuing doctor's name and registration information.
Will your employer or school accept an online medical certificate?
Your employer or school decides whether to accept an online medical certificate, not the doctor and not DrCertificate. Acceptance depends on the organisation's leave policy, local labour rules and, in Singapore, whether the doctor is registered under the law the Ministry of Manpower names.
A certificate gets questioned for a handful of reasons. The type may be wrong, for example a work from home note sent when HR wanted sick leave. Details may be missing or may not match your ID. The dates might not line up with your absence.
Or the company policy may require a clinic visit for every sick day, in which case no online note will pass. Knowing which of these applies tells you what to fix.
If HR questions your note, ask them to explain in writing what is missing. Share the doctor's details shown on the certificate if they want to verify it. If the policy rules out online notes, book a visit at a local clinic next time.
Payments on DrCertificate are non refundable.
That is why DrCertificate encourages every customer to confirm that the place of submission accepts online medical notes before choosing the service. A short email asking whether HR accepts an online certificate from a registered doctor, and what it must show, settles the question in writing.
When is an online medical certificate not the right choice?
An online medical certificate is not the right choice when your symptoms are urgent, when you need an examination or when your employer refuses online notes. Chest pain, trouble breathing, heavy bleeding or a sudden severe headache need emergency or in person care right away.
The doctor may decline. Doctors decline about 2% of requests, when the name and ID do not match or when the symptoms and details shared are inconsistent.
Other limits apply too. DrCertificate certificates are not for submission in India, not for legal purposes and must not be used for insurance. Applicants must be at least 16.
Recovery and caretaker certificates are not offered, so if your employer wants proof that you cared for a family member, ask HR about another route.
What are the employer rules in Singapore, Malaysia and the rest of South East Asia?
Sick leave and fitness rules differ by country and by employer, so check both before you apply. DrCertificate is for people in the 10 countries listed below.
The official labour ministry in your country is the right place to read the law. Your employer, school or airline then decides what it accepts on top of that, so confirm with them before you request a certificate.
| Singapore | The Ministry of Manpower says the Employment Act requires you to inform your employer within 48 hours if you cannot work and to submit the medical certificate when you return. Paid sick leave needs certification by a practitioner registered under the Medical Registration Act or Dental Registration Act. |
|---|---|
| Malaysia | Read the Ministry of Human Resources guidance on sick leave, then check your company handbook for the notes it accepts. |
| Philippines | Check the Department of Labor and Employment for leave rules, then follow your company HR policy, whether you work in Manila, Cebu or Davao. |
| Indonesia, Thailand and Vietnam | Each country's labour ministry publishes leave rules. Your contract and HR policy decide which medical notes count. |
| Cambodia, Laos, Myanmar and Brunei | Check the national labour authority and ask HR directly, since workplace policy sets what your employer accepts. |
What does an online medical certificate cost and how long does it take?
An online medical certificate on DrCertificate costs 25 SGD in Singapore, 399 pesos in the Philippines and 30 MYR in Malaysia. Prices in other served countries depend on the country. The fee covers the doctor's review of your form, the digital chat and, if approved, the certificate sent to you as a PDF.
A decision usually takes about 30 minutes. Timing depends on how complete your details are and on any questions the doctor asks. Fitness cases are handled 9 am to 9 pm IST Monday to Saturday and 10 am to 8 pm IST on Sunday.
Payments are non refundable, including when the doctor declines to issue a certificate. The only exception is a verified technical fault reported within 24 hours.

Frequently asked questions about checking what your employer accepts
You should not count on a backdated certificate. The doctor sets the dates based on what you share in the consultation, and DrCertificate cannot promise past dates. Employers often question notes written after an absence, and Singapore's Ministry of Manpower expects you to inform your employer within 48 hours, so apply while you are unwell.
The doctor decides the number of days case by case. In most South East Asian countries, sick leave and work from home notes go up to 7 days for generic symptoms. If you need longer, an in person visit with a local doctor is the better route, and your employer may require one anyway.
Yes, the doctor reviews your request in a digital chat consultation and may ask follow-up questions. DrCertificate has no video or in person consultations. Answer plainly and accurately, because inconsistent symptoms or details are one of the main reasons a doctor declines to issue a certificate.
If the doctor declines, no certificate is issued and the payment is not refunded. Doctors decline about 2% of requests, when the name and ID do not match or when the symptoms shared are inconsistent. You can still visit a local clinic in person if you need a note for your employer.
Send HR a short email asking whether they accept an online medical certificate from a registered doctor, which type they need and what it must show. A written reply gives you a record. Mention the dates you expect to be off so HR can also tell you the submission deadline.
No, a certificate cannot be corrected once issued unless the fault came from the medical team. Check your name, ID number and dates carefully on the form before you pay. If the medical team made the error, contact care@drcertificate.com with your details and a description of the problem.
Your school decides, just as an employer does. Ask the registrar or student affairs office whether it accepts online notes, when the submission deadline falls and whether it attaches its own form. If the school accepts online notes, choose the Sick Leave option for university or work on the DrCertificate form.
