What is a digital medical certificate?

A digital medical certificate is a medical note written and signed by a registered doctor and sent to you as an electronic file, usually a PDF. The certificate records the doctor's opinion about your health for a stated purpose, either that you need time away from work or study, or that you are fit for an activity.

A digital medical certificate is not a prescription, a treatment plan or a full examination report.

On DrCertificate, the request form has four options. Sick Leave covers absence from work or university and also general medical notes. Work From Home covers days when you can work but should not travel to the office. Unfit to Travel covers a trip you cannot make because of illness. The Medical Fitness Certificate option covers fit to work, fit to fly, sports fitness and good health certificates.

People often mix up two documents. A sick leave note says you were unwell and needed rest. A fitness certificate says the opposite, that you were assessed as fit for something.

When do you need a digital medical certificate?

You need a digital medical certificate when an employer, university, school or airline asks for written proof from a doctor about your health. The request usually follows a sick day, a missed exam, a trip you cannot take or a new role you are starting. Each organisation sets its own rule on when a note is required.

The reason behind each request is simple.

An organisation wants an independent record from a doctor instead of your own word, so it can apply its policy the same way to everyone. That record protects you too, because it shows the absence or the fitness decision had a medical basis.

  • Work and sick leave

HR or your manager asks for a sick leave or work from home note to confirm that time off or a change in work pattern had a health reason.

  • University and school

A school or university office asks for a note when illness makes you miss classes, tests or deadlines.

  • Air travel

An airline or travel provider may ask for a fit to fly or unfit to travel note when your health affects whether you can fly.

  • New jobs, courses and sport

Employers, course providers and sports clubs ask for a fitness certificate before you start.

Who issues a digital medical certificate?

A registered doctor issues every digital medical certificate on DrCertificate, not the platform itself. Each doctor is independent and holds an MBBS, MD or MS qualification. The doctor reads your request, chats with you and makes the medical decision alone.

DrCertificate is an online platform run by Health Venture OU. The platform connects applicants with doctors and handles the form, the payment and the email delivery. DrCertificate does not diagnose, treat or prescribe.

All doctors on the platform are registered with a medical council.

Registration matters because an organisation checking your certificate wants to know that a qualified, accountable person signed it. If your employer or school asks how the certificate was issued, you can explain that an independent registered doctor reviewed your case through a digital chat consultation and decided whether a certificate was appropriate.

How do you get a digital medical certificate online, step by step?

You get a digital medical certificate online by completing the DrCertificate form, paying, and waiting for a doctor to review your request in a digital chat. If the doctor approves it, the certificate arrives by email as a PDF. The whole service runs through chat, with no video or in person consultations.

Most decisions take about 30 minutes.

  1. ຂັ້ນຕອນທີ 1: Choose the right option

Pick Sick Leave, Work From Home, Unfit to Travel or Medical Fitness Certificate on the form. Fit to fly, fit to work and sports fitness all use the Medical Fitness Certificate option.

  2. ຂັ້ນຕອນທີ 2: Fill in the form accurately

Enter your name as it is printed on your ID, the purpose of the note and your real symptoms or health details. Doctors decline about 2% of requests, usually when the name and ID do not match or the details are inconsistent.

  3. ຂັ້ນຕອນທີ 3: Pay through Stripe

Payment is taken through Stripe before the review starts. The fee is non refundable.

  4. Step 4: Chat with the doctor

An independent doctor reviews your request in a digital chat and may ask follow-up questions. Reply promptly so the review is not held up.

  5. Step 5: Receive the decision

The doctor decides whether to issue a certificate. Approved certificates arrive by email as a PDF that you can forward or print.

What should a digital medical certificate include?

A digital medical certificate should include your full name, the date of the consultation, the dates or purpose it covers and the issuing doctor's details. Those are the fields an HR team, school office or airline checks first. Missing or mismatched fields are the usual reason a note gets queried.

Before you apply, ask the organisation whether it uses its own form or format. An employer or institution with its own template may not accept a general certificate in its place.

Run this check before you submit.

  • Your name

Spelled the same way as on your ID and in the organisation's records.

  • The dates

The consultation date and any rest dates line up with the days you are reporting.

  • The purpose

Sick leave, work from home, unfit to travel or fitness, matching what was asked for.

  • The doctor's details

The doctor's name, qualification and signature are shown.

  • The file

The PDF opens properly and you keep a copy before sending it.

Will your employer or school accept a digital medical certificate?

Your employer, school or airline decides whether to accept a digital medical certificate, not DrCertificate or the doctor. Each organisation sets its own policy on online medical notes. DrCertificate encourages every customer to check that the place of submission accepts online notes before choosing the service.

A certificate is usually questioned for one of a handful of reasons. The wrong type was sent: a sick leave note where a fitness certificate was needed. The name does not match the ID on file. The dates do not line up with the leave requested. Or the organisation wanted its own form or an in person examination.

What can you do if HR or a school office questions the note?

Ask what is missing or what format they need. Explain that an independent registered doctor issued the certificate after a digital chat consultation. A certificate cannot be corrected once issued unless the fault is from the medical team, so contact care@drcertificate.com if you believe that is the case. If the organisation needs a different document, an in person clinic visit is the better next step.

When is a digital medical certificate not the right choice?

A digital medical certificate is not the right choice when you have an emergency, need a physical examination, or need the note for a purpose DrCertificate does not support. The doctor may also decline any request.

Severe, sudden or worsening symptoms need in person or emergency care straight away.

DrCertificate is only for suitable non emergency situations, and these limits apply to every request.

  • Certificates are not for submission in India.
  • Not for legal or insurance use Certificates are not for legal purposes and must not be used for insurance.
  • Age limit Applicants must be at least 16.
  • Types not offered Recovery and caretaker certificates are not offered.
